Learn more about the Departures report and how it can be leveraged to enhance your day-to-day planning.

Departures (Legacy Version):

As of March 2024, a new version of the Departures Report has been introduced, featuring additional information. The Departures (Legacy Version) will remain accessible until July 01, 2024, following which it will be retired.

Departures Report Overview

The Departures Report provides a comprehensive snapshot of anticipated guest departures within a specified date range, featuring essential details such as guest names, reserved sites, and other pertinent information.

Some of the information found on this report includes:

  • Reservation Details (Confirmation Number, Stay Dates, Camper Nights)
  • Guest Information (Guest Name, Phone, Email, Address)
  • Park and Site Details (Park ID, Park Name, Site Name, Site Type, Category)
  • Stay and Occupancy (Nights, Occupancy Counts, Pets)
  • Financial Information (Reservation Balance, Discounts, Packages, Memberships)
  • Add-Ons and Extras (Add-on Names, Quantities, Online Store Add-ons)
  • Guest Preferences and Notes (Reservation Notes, Reason for Visit, Referral Source, Text Message Opt-in Status)
  • RV and Equipment Information (RV Type, RV Length, RV Slide Outs)
  • Operational Data (Blocked Status, Unit Turnover, Terms and Conditions)

Common Report Uses:

  • Managing Balances: Identify guests with outstanding balances for swift resolution before check-out, ensuring seamless financial transactions.
  • Turn-over Site Prep: Prioritize site preparation for upcoming check-ins by identifying turn-over sites where new arrivals are expected on the same day.
  • Daily Add-on Management: Efficiently prepare additional services, such as linens or equipment rentals, for departing guests with bookings containing daily add-ons.
  • Guest Communication: Quickly access guest contact details for streamlined communication regarding departures or other important matters.

 

Accessing the Report:

Access the Departures Report from both the Front Desk and the Reporting page. While the Front Desk allows for single-day reports, the Reporting page enables selection of broader date ranges, ideal for comprehensive analysis, particularly during peak periods like busy holiday weekends.

Download Options:

The Departures Report is available in both PDF and CSV formats, offering flexibility in data manipulation and presentation. The PDF format is tailored for printing, providing essential information in a concise, printer-friendly layout.

    Q: Can this report be organized by site number?

    Yes, download the CSV version of the report and utilize Excel's sort feature to arrange site numbers. This same task can be completed to organize the report by any of the column headers.

    Q: Does this report include reservation if a reservation has an outstanding balance? 

    Yes! Both the CSV and PDF versions of this report include balance information.
