The Payment Methods page categorizes payment options into three sections: Consumer Site Reservations, Admin Site Reservations, and Point of Sale. Each section encompasses various payment methods tailored to specific reservation origins, ensuring flexibility and convenience in transaction processing.

Customizing and Understanding Payment Methods

The Payment Methods setup page serves as a central hub for managing payment options within the system. Here, users can view and customize various payment methods and their associated financial accounts as well as define if a Charge to Site transaction should require a credit card on file.

Active payment methods are easily identifiable by the checkbox next to each option, indicating their availability for use during checkout. These active methods streamline the transaction process, providing users with seamless payment experiences.

Conversely, inactive payment methods do not appear in the payment method list on the checkout screen. This feature helps declutter the interface, ensuring that only relevant payment options are presented to users during the checkout process.

POS Charge to Site: Requiring a Card of File

Campspot's Charge to Site feature enables users to charge Point of Sale (POS) transactions directly to a reservation. Enabling this feature requires having a credit card on file. Without a card on file, the option to use the charge to site payment method in the point of sale interface will not be accessible. This setup ensures seamless and secure transaction processing, enhancing the efficiency of your operations.

Payment Methods Definitions

The payment methods list is divided into three sections:

  1. Consumer Site Reservations
  2. Admin Site Reservations
  3. Point of Sale

Consumer Site Reservations:

Bank Account (ACH)

  • Available on consumer site for existing reservations
  • Exclusive to Card Connect merchants

Credit Card

  • Allows users to submit payments online on consumer site

Admin Site Reservations:

Credit Card

  • Process non-card present credit card payments for admin site reservations

Cash

  • Records cash payments for admin site reservations

Bank Account (ACH)

  • Process ACH payments for admin site reservations

  • Exclusive to Card Connect merchants

Transfer Internal Payment

Used for managing funds within the system, typically between invoices or credits:

  • Move funds between invoices within the Admin Site.
  • Apply User Credit or Camp Credit Account Balances as payments.
  • Refund funds directly to or from an invoice.
  • When NOT to use: Avoid using this payment method during reservation confirmation or checkout processes in the Admin Site.

Transfer External Payment

This payment method is used specifically during the onboarding process to accurately reflect payments taken in a park's previous system.

When to Use:

  • Record funds that were processed in the park's old system and transferred into Campspot to show an accurate balance on imported reservations.
  • If a park realizes after going live that not all payments were brought over, this method can be used to correct the records.
When NOT to Use:
  • Avoid using this payment method after the onboarding process is complete, as it impacts financial and payment reports.
    • It should not be used for processing new payments or managing transactions within Campspot.

Note: This method ensures imported reservations reflect accurate balances by recording payments previously processed outside Campspot.

  • Requires check number and driver's license information for tracking purposes

Credit Card Terminal

  • Process card present credit card payments for admin site reservations

  • Requires approved terminal from credit card processor

Virtual CC Terminal

Allows parks to record payments made using non-integrated credit card terminals for reservations processed in the Admin Site.

When to Use:

  • Record payments manually when using a credit card terminal that is not integrated with Campspot.
  • Track external credit card payments to ensure they are accurately reflected in the system.

Key Details:

  • This payment method is for documentation purposes only and does not process payments directly through Campspot.
  • Provides a way to reconcile external credit card transactions with Campspot’s financial records.

(Franchise Parks Only) Club Yogi Rewards Certificate

  • Records payments designated as Club Yogi Rewards certificates for admin site reservations

  • Requires Rewards ID for tracking purposes

Virtual Gift Card Terminal

  • Records payments taken with non-integrated gift card terminals for admin site reservations

Voucher

  • Records payments designated as vouchers for admin site reservations

  • Requires voucher ID for tracking purposes

Point of Sale

Cash
  • The Cash payment method records cash taken in as payment for a point of sale receipt.
Certificate
  • Records payments designated as certificates for point of sale receipts
  • Requires certificate ID for tracking purposes
Check
  • Records check payments for point of sale receipts
  • Requires check number and driver's license information for tracking purposes
