      OTA Fee Pricing Rule: Setup Guide

      Learn how to automate OTA Booking Fees with ease.

This time-saving enhancement allows you to effortlessly apply fees to OTA bookings, reducing manual effort and increasing efficiency. This new fee is available for OTAs including Booking.com, Airbnb, and Vrbo.

      Uses:

      • User-Friendly Setup: Utilize the intuitive interface to create new rules or update existing ones using the New Variation form.
      • Rule Editing Made Easy: Easily edit rules by clicking on the desired rule, making adjustments, and saving changes, ensuring flexibility and control.
      • Integrated Tax Setup: Seamlessly integrate OTA fees into your tax setup under the Pricing tab within Rules Setup.

      We are aware of existing issues affecting the full functionality of OTA Fee Rules, particularly with specific platforms. Please know that we are actively collaborating with our OTA partners to find the best solution. We appreciate your patience as we work toward enhancing this feature.

      Impacted OTA Platforms

      • Airbnb: OTA Fee Rules can be set up and are currently supported within this platform.
      • Booking.com (Bcom): Integration for OTA Fee Rules is not available at this time, requiring manual setup within the Booking.com interface.

      Best Practices for Successful Setup

      To maximize the effectiveness of OTA Fee Rules in Campspot, we recommend the following setup guidance:

      • Align Fees Across Platforms: Ensure that your OTA Fee Rules in Campspot match the fee structure you’ve set on each OTA platform.
        • Matching fees across both platforms will help maintain consistent pricing and minimize discrepancies.
      • Review Your OTA Configuration: Regularly review and adjust your fee setup within each OTA platform to ensure it reflects what you’ve configured in Campspot.

      While integration limitations remain, aligning your fee setup across platforms will help maintain accurate pricing and ensure a seamless experience for your guests. We remain committed to enhancing our integrations and will communicate updates as they become available.

      A Note About Pet Fees:

      Our new feature allows automatic charges for OTA bookings. However, OTA platforms do not specify pet details, so pet fees cannot be applied automatically. For accurate billing, please:

      1. Include a Pet Fee Policy in your OTA booking terms.
      2. Manually apply pet fees during guest check-in.

      This ensures clear communication and proper fee application for guests with pets. For assistance, contact support.

      Instructions:

      To implement this rule, follow the directions below:

      Step 1: Navigate to Pricing Rules

      1. Using the primary navigation button, click on Rules
      2. Click on the Pricing tab
      3. Select OTA Fees

      Step 2: Create New Rule

      From this page you can either update existing rules or create a new one using the New Variation form. To setup a new rule, follow the directions below:

      1. Click New Variation
      2. Complete the form (example of blank below)
      3. Once complete, click Save

      OTA Fee Variation

      Below you will find more information about each of the fields from the variation form.

      Rule Name Customer-facing name appearing on the invoice.
      Active Date Groups Assigning a Date Group to Active Dates allows you define when a rule should apply.
      Site Type(s)

      Define which site types the rule applies to.
      Apply only to reservation booked before Set an "expiration" date for the rule for you to define when the rule should be applied based on booking date. This setting may need to be adjusted year over year if the strategy is to use the same rule each year.
      Fee amount Select the fee amount as either a % or $ amount.
      Charge frequency Define if the fee is charged once for the entire stay as a flat rate or nightly for the duration of the stay.
      Applies to OTA Assign which OTA integration applies to the fee.
      Financial Accounts / Deferred Financial Account

      Select the financial account from the drop-down menu in which the fees will be reflected on the Journal Entry reporting.

      Select the deferred financial account from the drop-down menu in which the fees will be reflected on the Journal Entry reporting. Even if running on a cash-based accounting system, this drop-down is still required.

      Taxes

      The OTA Fee feature has been added to the taxes setup found under the Pricing tab within Rules Setup.
