Overview of the Rerating Tool

The Rerate Tool in your Admin Site is designed for operators with specific user role permissions to manage pricing adjustments for future reservations. It does not affect current Checked In or past reservations. This feature can be used to align future bookings with updated pricing strategies or to rectify pricing errors efficiently.

How does this feature work?

Rerate Setup

Setting up the Rerate Tool is straightforward. The only parameter you need to define is how the system should rerate a reservation based on the length of stay. You will specify the maximum length of stay you want to be rerated, and any bookings shorter than this maximum will be eligible for rerating.

To set up the Rerate Tool, you need to:

  1. Navigate to Campground Setup.
  2. Click on the Properties tab.
  3. Select the General page.
  4. Scroll down to define the length of stay that qualifies for rerating by setting the number of days. Reservations shorter than this number will qualify for rerating.

Implementing a Rerate

This feature is implemented at an individual site or add-on level, allowing you to manage which specific sites or add-ons qualify for a rerate. By applying the rerate at the site level, you have the flexibility to adjust pricing for individual units without affecting an entire site type, category, or all units. This approach helps you maintain precise control over your pricing strategy and ensures accuracy in rate updates.

What does the system Rerate?

When you click to rerate a campsite or add-on, the system updates future reservation prices to match the latest baseline prices uploaded through the Base Pricing template. It does not affect custom rates.

Example:
A reservation is booked at $45 per night. After uploading a new base rate sheet, the base rate increases to $50 per night. Upon clicking Rerate, the reservation updates to the new $50 rate, provided the reservation:

    • Starts in the future

    • Meets the configuration requirements in Campground Setup

Who can use this feature?

To use this feature, you must have permissions to access and edit the Campground Setup settings. Ensure that you are appropriately assigned this role to access and implement rerating.

  • Transparency with Guests: If you need to use this tool reactively to adjust prices, make every effort to inform guests about the changes to avoid surprises upon arrival and protect yourself from potential charge backs.
  • Terms and Conditions: If you plan to incorporate rerating into your standard reservation management process, ensure your terms and conditions mention the possibility of rate changes, with or without notice.
  • Caution with Implementation: Since the system provides no feedback during rerating, double-check settings before applying changes to ensure accuracy and appropriateness.
  • Custom Rates: If a reservation's rates have been manually overridden, or a custom rate has been defined, the rerate tool will not apply to that booking. If you would like to manually adjust these reservations, find a list of these bookings by using the Rate Override report.

The Rerate Tool is designed to keep your current and past reservations stable while allowing you to update pricing for future reservations seamlessly.

Q: Will the system notify you after a rerate is completed?

No, the system does not provide feedback once a rerate is implemented. Ensure accuracy before executing the rerate.

Q: Does rerating affect custom rates?

Q: Can a rerate be pulled back, or undone, once implemented?

Once the tool is used, the reservations meeting the qualifications will be updated with no ability to roll those changes back or to track which bookings have been impacted.
