How To: Communicate RemoteLock Access to Guests

Learn how to automatically share access instructions from RemoteLock to your guests

Summary:

For parks using the RemoteLock integration, Campspot’s automated messaging system ensures guests receive pre-configured instructions on how to use their assigned smart locks. This article explains how parks can tag RemoteLock access instructions into email message templates, allowing Campspot to automatically insert and share them when relevant reservations are booked.

Communicating Access Instructions for RemoteLock Locks

Campspot’s integration with RemoteLock allows parks to automate the sharing of lock instructions for accommodations and common areas. By tagging RemoteLock instructions into system-generated messages, parks ensure guests receive the right details without manual follow-up.

The following messages can automatically include RemoteLock instructions when properly tagged. We recommend using these to streamline communication (click on a message to learn more about each):

Message Required or Optional Email? Special Notes
Reservation Confirmation Required Sent automatically when a reservation is confirmed. Ensures all guests receive pre-set RemoteLock instructions. Can be manually re-sent via the Email button in the Reservation Summary.
Pre-Arrival Optional (Recommended) Recommended 2-3 days before check-in to reinforce lock instructions. Helps prepare guests by reminding them how to use their assigned locks. Fully customizable.
Online Check-In Optional (Recommended) Sent 24 hours before arrival to parks using Online Check-In. Can include RemoteLock instructions to ensure guests understand how to access their accommodations.
Online Check-In Confirmation Optional (Recommended) Sent after guests complete Online Check-In. Confirms check-in completion and provides final lock usage instructions.

How to Tag RemoteLock Access Instructions into Messages

Campspot’s email tags allow parks to insert RemoteLock access instructions directly into email templates, ensuring that lock details are automatically included when messages are sent.

Steps to Add RemoteLock Instructions to Emails

  1. Navigate to Campground Setup in the Admin Site.
  2. Select the Properties tab.
  3. Click on Messaging to open the message template list.
  4. Open the email template where you want to include RemoteLock instructions.
  5. Within the message body, click the [T] (token) button to open the email tag selection menu.
  6. Select Access Code Instructions (available for parks integrated with RemoteLock).
  7. Click OK to insert the tag into the message.
  8. Save your changes by clicking Save Changes in the bottom-right corner.

Once the Access Code Instructions tag is added to an email template, Campspot will automatically pull the pre-configured instructions from the park’s RemoteLock setup and insert them into messages for reservations that require them.

What about the actual code?

Unique access codes are automatically assigned to reservations 0-3 days before arrival. When using Campspot’s system-generated emails with the Access Code Instructions tag, both the predefined lock instructions and the guest’s assigned code will be included only if the email is generated within 0-3 days of arrival. If the email is sent earlier, it will include only the lock instructions without the code.
